# Pick a booking system your patients actually use

> Many patients still book a clinic by phone or WhatsApp, even when the clinic has an app or a listing. Keep one diary as the single source of truth, then make every channel write into it: the front desk, the phone line, WhatsApp and any listing you use.

## Where bookings go wrong

Double bookings and empty slots usually come from the same thing: more than one diary.

- **Two diaries.** The desk writes in the register, the doctor takes a booking on WhatsApp, and the listing app takes another. Two patients turn up for one slot. Fix: One diary. Every channel checks it before it confirms a slot.
- **The phone booking.** Booking one patient by phone takes a few minutes of the desk's time: name, number, doctor, time, fee. During OPD that is time taken from the patient at the counter. Fix: Phone bookings answered and written into the diary without the desk.
- **WhatsApp "is the doctor available?".** Patients message the number on your board or listing. Replies come between patients, the slot is written down later, sometimes not at all. Fix: The chat shows open slots, books one and sends the confirmation in the same thread.
- **The doctor's leave.** The doctor is away on Thursday. Some patients hear about it, the ones booked on another channel do not, and they come to a closed cabin. Fix: Block the day once in the diary and message every booked patient two new options.
- **After hours.** The clinic is closed, so the call goes unanswered and the patient books somewhere that picks up. Fix: Evening and Sunday calls booked into the next open slot.

## Count the desk's phone hours

Booking by phone is not free just because nobody bills for it. Count it for one day.

- **Booking and rescheduling calls a day:** 40
- **Minutes per call:** 3
- **Desk time on the phone a day:** 2 hours
- **Desk salary a month:** ₹18,000

Two of the desk's eight hours go to the phone, about ₹4,500 a month of that salary, and the patient at the counter waits while the call runs.

These are example numbers, not figures from any clinic. Count your own calls and minutes for one day.

## Rules that keep the diary clean

Whatever system you choose, the same few rules stop most double bookings and empty slots.

- One diary is the source of truth. Paper, calendar or software, but only one
- Every booking gets the patient's name, mobile number, doctor and reason for the visit in a word or two
- Fix slot lengths per doctor and per visit type, so a new patient is not squeezed into a follow-up slot
- Confirm every booking on WhatsApp with the doctor, time, fee and a location pin
- Block leave and surgery days in the diary first, then tell booked patients
- Keep a short list of patients who want an earlier slot, and call them when one frees up

## Booking systems compared

Most clinics use two or three of these together. What matters is that they all write into one diary.

- **A paper register.** Fixes: Simple, nothing to learn, works when the power or internet is out. Falls short: One copy at the desk. Phone and WhatsApp bookings depend on someone writing them in.
- **A shared Google Calendar.** Fixes: Free, and the doctor and desk see the same slots on their phones. Falls short: Patients cannot see it. Every booking is still typed in by hand.
- **Clinic management software.** Fixes: Diary, patient records and billing in one place. Falls short: Patients still call and message to book, and the desk enters those by hand.
- **A doctor listing app.** Fixes: Patients can pick a slot themselves. Falls short: Only patients who use that app. Its slots have to stay in sync with your own diary.
- **An AI receptionist.** Fixes: Answers calls and WhatsApp at any hour, books into your diary and sends reminders. ₹10,000 a month after a ₹30,000 setup, with 1,000 minutes, flat. Falls short: Takes no medical questions. Your slot rules, fees and doctor timings have to be written down first.

## Questions

### What is the best appointment booking system for a small clinic?

The one your desk will keep up to date. For one or two doctors a shared calendar often works. Bigger clinics usually need software with records and billing. Either way, phone and WhatsApp bookings have to land in the same diary, because that is how many patients still book.

### Can patients book a clinic appointment on WhatsApp?

Yes. Through the WhatsApp Business app a person replies by hand. Through the WhatsApp Business API, software can show open slots, book one and send the confirmation in the same chat, and send reminders as approved templates to patients who gave their number for the booking.

### How do I stop double bookings?

Keep one diary and make every channel check it before confirming. Double bookings usually come from a second diary, such as a doctor's WhatsApp or a listing app that does not sync, not from the desk.

### Does the AI receptionist work with my clinic software?

It can write bookings into a Google Calendar or Sheet, and into clinic software that offers an API or a booking link. If yours has neither, bookings come to the desk on WhatsApp to enter. We check this on the first call before quoting.

### Does online booking fit the NMC advertising guidelines?

Booking, confirmations and reminders are patient service, not advertising. The National Medical Commission's guidelines of 6 October 2026 restrict promotional campaigns, review requests, discounts and claims about doctors, so keep those out of booking messages. This is a plain reading, not legal advice.

### What does an AI receptionist cost for a clinic?

Brand Bakery's AI Receptionist is ₹10,000 a month after a ₹30,000 setup, including 1,000 minutes of calls, then ₹9 a minute. The fee is flat and never tied to the number of patients or bookings.
