# An admission form that parents finish and counsellors can use

> Ask only what the first call needs: student name, class, course or exam, the parent's mobile number, preferred centre and batch time. Take the parent's consent when the student is under 18, as the DPDP Act requires. Then call within the hour, while the family is still comparing institutes.

## Where admission forms fail

Most forms lose families at the same few points, either before they press submit or right after.

- **The long form.** Address, school, marks, father's occupation and a photo, before anyone has spoken to the family. Many close the page halfway. Fix: Six fields for the enquiry. The full admission form comes after the counselling call.
- **The student's own number.** A Class 10 student fills the form at night with their own number, and the call reaches a phone in a school bag the next day. Fix: Ask for the parent's mobile, and who should be called.
- **No class or exam field.** Counsellors spend the first minutes of every call finding out whether this is a JEE, NEET or Class 9 foundation enquiry. Fix: A drop-down for class and course, so the right counsellor calls with the right batch details.
- **The silent submit.** The family presses submit and hears nothing until a call the next afternoon. Fix: An instant WhatsApp confirming the enquiry, and a call within the hour.
- **Consent as an afterthought.** A pre-ticked box, or no consent at all, for a student who is 15. Fix: A clear line the parent agrees to, saying who will call and why.

## Count the counsellor's minutes

Every question the form does not ask is asked on the phone, one family at a time.

- **Form enquiries in an admission month:** 300
- **Minutes per call spent on basic details:** 4
- **Counsellor time on basics:** 20 hours

That is 20 hours of counselling time a month spent asking for class, course and centre, time that could go to the families who are ready to book a demo class.

These are example numbers, not figures from any institute. Time a week of your own calls to get the second number.

## Six fields and one consent line

Keep the enquiry form short. Everything else can wait for the counselling call.

- Student's name, and class or year
- Course or exam: a drop-down such as JEE, NEET, foundation, boards, CUET
- Parent's mobile number, with a tick for WhatsApp on the same number
- Preferred centre, and morning, evening or weekend batch
- Who is filling the form: parent or student
- A consent line the parent agrees to: "[Institute] may call and WhatsApp this number about admissions. You can ask us to stop at any time."

## Ways to collect enquiries

Most institutes use more than one. Each should land in the same list, with the time of the enquiry.

- **A paper form at the front desk.** Fixes: Walk-in families, with a counsellor right there. Falls short: Typed in later, often with wrong numbers, and never reaches the website enquiries.
- **A Google Form.** Fixes: Free and quick to set up, with answers in a sheet. Falls short: Plain look, and nobody is told when a new enquiry arrives.
- **A form on your website.** Fixes: Your brand, and it can record which ad or page the family came from. Falls short: Someone still has to see each enquiry and call it.
- **Meta lead ad forms.** Fixes: Families fill it without leaving Instagram or Facebook. Falls short: Pre-filled details bring more casual fills, so the first call matters more.
- **An AI admission caller.** Fixes: Calls every form fill within minutes, asks the basics, books the demo class and sends details on WhatsApp. Falls short: Does not promise ranks, results or fee discounts. ₹50,000 setup, then ₹22,500 a month.

## Questions

### What should a coaching admission enquiry form ask?

Student name, class, course or exam, the parent's mobile number, preferred centre and batch time, and whether a parent or the student is filling it. Leave address, marks and documents for the full admission form after the counselling call.

### Do I need parental consent for students under 18?

Yes. The Digital Personal Data Protection Act, 2023 treats anyone under 18 as a child and requires verifiable consent from a parent before you process a child's personal data. Ask for the parent's number and consent on the form. This is a plain reading, not legal advice.

### How fast should we call back a form enquiry?

Within the hour, and sooner in admission season. Families often fill forms for several institutes the same evening, and the first useful call tends to get the demo class.

### Can we promise results in follow-up messages?

No. The Central Consumer Protection Authority's guidelines on coaching advertisements, issued in November 2024, bar claims of guaranteed ranks, results or selection. Keep follow-up messages to batch details, timings, fees and demo classes. This is a plain reading, not legal advice.

### What does an AI admission caller cost?

₹50,000 to set up, then ₹22,500 a month. If you only need incoming calls answered, the AI Receptionist is ₹10,000 a month after a ₹30,000 setup, with 1,000 minutes, then ₹9 a minute.
