# You paid for the lead. Who called it back in the first minute?

> A property lead is worth the most in the first few minutes after the enquiry, often before your team has seen it. Call every new lead within minutes, at any hour you allow, then follow a written plan of calls and WhatsApp messages until the buyer books a visit or says no.

## Where paid leads go cold

A Harvard Business Review study of 1.25 million sales leads (2011) found that firms that tried to reach a lead within an hour were nearly seven times as likely to have a real conversation as firms that waited longer. Property leads go cold at the same few moments.

- **The 11 pm portal enquiry.** Buyers browse 99acres and MagicBricks at night and enquire on several listings at once. The first broker to call usually gets the conversation. Fix: A call within a minute of the enquiry, at any hour you allow, in Hindi or English.
- **While your team is on site visits.** Weekends are when visits happen and when the most enquiries arrive. Nobody in the field can stop a visit to call a new lead. Fix: New leads are called and qualified while your people stay with the buyer in front of them.
- **The second and third call.** The first call goes unanswered because the buyer does not pick up unknown numbers. Nobody tries again, and the lead is marked "not interested". Fix: A WhatsApp message after a missed call, then retries at the times you choose.
- **The Meta ad form filled by mistake.** Lead ads bring browsers along with buyers. Your best caller spends the morning on people who never meant to buy. Fix: Budget, configuration, location and timeline asked first, so your team calls the serious buyers back.
- **The site visit that does not happen.** A visit booked on Tuesday for Saturday is forgotten by Friday. The slot is lost, and so is the buyer. Fix: A confirmation the day before and a location pin on the morning of the visit.

## What slow callbacks cost a month

Take one month of leads from your portal packages and ads. Count how many got their first call more than an hour after the enquiry.

- **Leads a month:** 200
- **Called back after an hour:** 60
- **Leads that book a visit:** 1 in 10
- **Visits that close:** 1 in 15
- **Your earning on a deal:** ₹1.5 lakh

If those 60 leads booked visits like the rest, that is 6 more visits and about ₹60,000 a month in earnings you paid the portal for and never saw.

These are example numbers, not figures from any broker. Your portal dashboard and your call log give you the first two.

## A follow-up plan that does not rely on memory

Write the plan down once. Then every lead gets the same treatment, whether it arrives at 11 am or 11 pm.

- First call within a minute of the enquiry, and a WhatsApp message if it is not picked up
- A second call the same evening, and a third the next day at a different time
- On day 4 and day 7, one short WhatsApp with the project name and two visit slots
- Stop the moment the buyer says no, and mark why, so you learn which listings bring browsers
- Confirm every visit the day before, and send the location pin that morning
- A person from your team calls after every visit; the AI only books and reminds

## In Delhi NCR, check the RERA first

Buyers here compare projects across three states in one evening. The caller needs to know which rules apply where.

- Gurugram and Faridabad projects register with Haryana RERA, Noida, Greater Noida and Ghaziabad with UP RERA, and Delhi projects with Delhi RERA
- The caller reads out the project's RERA registration number from your approved list when a buyer asks, and never guesses
- Buyers often shortlist across Dwarka Expressway, Noida Extension and Ghaziabad at once, so the first call should ask which corridor they are open to
- Hindi and English cover most calls, and many buyers switch between them mid-sentence

## Ways to call every lead first

Most brokers mix two of these. Pick by how many leads you get and when they arrive.

- **One more telecaller.** Fixes: Daytime leads, with a person who learns your projects. Falls short: Office hours only, a salary plus incentives, and night and Sunday leads still wait.
- **Portal auto-reply SMS.** Fixes: The buyer gets something at once. Falls short: Nobody qualifies the lead or books a visit. Every other broker on the listing sends one too.
- **A CRM with lead assignment.** Fixes: Every lead reaches a named person, with reminders. Falls short: Assigning a lead is not calling it. The reminder still waits for someone who is free.
- **An outsourced call centre.** Fixes: Longer hours and more callers. Falls short: Scripts drift from your projects, and you pay per seat whether leads come or not.
- **An AI telecaller.** Fixes: Calls every lead within a minute at any hour you allow, qualifies, books visits and runs the follow-up plan. Falls short: Does not negotiate or close. Discounts beyond your written offers go to your team. ₹50,000 setup, then ₹22,500 a month.

## Questions

### How fast should I call back a property lead?

Within minutes, and before the buyer speaks to another broker. A Harvard Business Review study of 1.25 million sales leads found that trying within the first hour made a real conversation nearly seven times as likely as waiting longer. For portal leads shared with several brokers, the first few minutes matter most.

### How many times should I follow up a real estate lead?

A plan of four to six touches over a week works for most enquiries: calls on the first two days at different times, then short WhatsApp messages with visit slots. Stop as soon as the buyer says no.

### Can an AI telecaller work with 99acres, MagicBricks and Housing leads?

Yes. It works from the lead emails and notifications those portals already send you, and from Meta lead ads and your website form. We confirm each source on the call before anything is built.

### Will buyers know they are talking to an AI?

Yes. Every call starts with the AI saying it is an AI assistant and a notice that the call is recorded, and it calls only people who enquired. It never cold calls a purchased list.

### What does it cost?

The AI telecaller is ₹50,000 to set up, then ₹22,500 a month. If you only need incoming calls from hoardings and listings answered, the AI Receptionist is ₹10,000 a month after a ₹30,000 setup, with 1,000 minutes, then ₹9 a minute.
