Most small businesses don't lose customers because of price. They lose them because nobody picked up. The front desk was with a walk-in, the owner was driving, it was 8:40 pm, or it was Sunday. The caller didn't leave a voicemail. They called the next name on Google.

An AI receptionist is one answer to that. It's worth knowing exactly what it is before anyone sells you one.

## What an AI receptionist actually does

It's a voice agent on your business number. When a call comes in, it:

1. **Answers in the caller's language.** Hindi, English, or the Hinglish most people actually speak.
2. **Says it's an AI at the start of every call,** and offers to connect a person if the caller prefers.
3. **Answers the routine questions** from information you've approved: timings, location, services, fees, what to bring.
4. **Books, moves or cancels appointments** within your rules, and sends a WhatsApp confirmation.
5. **Passes everything else to your team** with a short written summary: complaints, special requests, anything it isn't sure about.

You get a transcript of every call. That alone is more than most front desks can tell you about last week.

It's a receptionist, not a salesperson. If you want new leads called back and followed up over days, that's an outbound job. Our page on the [AI sales employee that calls every new lead](https://www.brandbakery.tech/ai-employees/sales-executive) covers that side.

## Who it suits

- **Clinics and dental practices** that miss calls during procedures and after hours. Keep it to answering and appointments; it must never give medical advice. Our [clinic setup checklist](https://www.brandbakery.tech/pulse/ai-receptionist-clinic-checklist) covers what to decide first, and our page on the [AI receptionist for clinics](https://www.brandbakery.tech/industries/clinics) sets out what we do and don't do under the NMC's October 2026 guidelines.
- **Salons, spas and fitness studios** where the person who'd answer is busy with a client.
- **Coaching centres** in admission season, when parents call in the evening about batches and fees.
- **Home and local services:** pest control, AC repair, interiors, where the first business to answer usually gets the job.

It suits a business less if most calls are long, emotional or highly technical, or if you get only a handful of calls a week and always answer them.

## What it costs in India

Pricing pages for AI voice agents in India mostly sit between about ₹2 and ₹12 a minute, but the per-minute rate leaves out telephony, setup and the work of keeping it correct. Our guide to [what an AI phone agent really costs](https://www.brandbakery.tech/pulse/ai-voice-agent-cost-india) shows how to compare quotes on a monthly basis.

Our own [AI Receptionist](https://www.brandbakery.tech/ai-employees/receptionist) costs **₹30,000 once for setup**, then **₹10,000 a month with 1,000 minutes included**, and ₹9 a minute after that. We don't charge GST. The monthly fee covers running it, reading transcripts, and updating it when your prices or timings change.

To compare against a person: if your front desk misses 10 calls a day and two of those would have booked, what is one booking worth to you? That number, not the AI's price, decides whether it's worth it.

## How to try one without risking your customers

- **Start with the calls you miss today:** after hours, Sundays, and overflow when the line is busy. Your staff keep answering everything else.
- **Write the approved answers down first.** Prices, timings, what's included. The AI is only as accurate as this sheet.
- **Set the handover rules.** Which topics always go to a person. Who gets the summary, and how fast they call back.
- **Read 20 transcripts in week one.** Fix wrong answers the same day.
- **Judge it after a month** on missed calls, bookings and complaints, not on how impressive the demo sounded.

**See it working:** watch [a dental clinic missed call answered and booked on WhatsApp](https://www.brandbakery.tech/demos/at-work/dental-clinic-missed-call-whatsapp), or see [a salon booking taken after hours](https://www.brandbakery.tech/demos/at-work/salon-after-hours-booking).

Our free [missed enquiry cost calculator](https://www.brandbakery.tech/tools/missed-enquiry-cost) puts a monthly rupee figure on unanswered calls. If the number is bigger than you expected, [ask for a callback](https://www.brandbakery.tech/contact).
