For many coaching institutes, the year’s admissions are decided in a few busy months. Families of Class 10 and 12 students start planning around board exams and January’s JEE Main (session 1 of JEE Main 2027 is scheduled for late January, [per Careers360](https://news.careers360.com/jee-main-2027-application-form-live-updates-session-1-registration-date-documents-required-exam-guidelines-latest-news)), and enquiries pile up from December to March. Every institute in your area runs ads at the same time. Every parent enquires with three or four of them.

The institute that wins is rarely the one with the most enquiries. It is the one that calls back first, answers the parent’s real questions, and is still in touch when the decision is made. Here is a plan for doing that at volume.

## Before the season: get ready in November

**Count your capacity.** If you expect 300 form fills a month and each counsellor can make about 60 good calls a day, you have the capacity on paper. In practice, walk-ins, demo classes and fee discussions eat half the day, and evening enquiries wait until tomorrow. Know your real number.

**Write your answers down.** Fees and instalments, batch timings, faculty, test schedule, refund policy, hostel or transport. Counsellors and any automation should give the same answers. This also keeps you inside the [rules on coaching advertising](https://www.brandbakery.tech/pulse/coaching-centre-advertising-rules), which apply to what counsellors promise on calls, not just to ads.

**Find your leaks.** Our free [lead leak audit](https://www.brandbakery.tech/tools/lead-leak-audit) takes ten questions and shows where enquiries are slipping today, before the season multiplies them.

## Who to call first

When enquiries outrun your team, order matters:

1. **Brand-new enquiries, within minutes.** A parent who filled your form ten minutes ago is still thinking about it. Tomorrow they’re thinking about whoever called them tonight. Our guide on [lead response time](https://www.brandbakery.tech/pulse/lead-response-time) explains why the first hour matters so much.
2. **Demo-class attendees, the same evening.** They’ve met your teachers. Ask what they thought and what’s holding them back.
3. **Parents who asked about fees.** Fee questions are buying signals. Send the fee structure on WhatsApp and offer a call with the centre head.
4. **Older enquiries, on a slower rhythm.** A useful message every week or two: test schedule, a free doubt session, batch start date. Not a daily “any update?”.

## The first call

Short and useful. Confirm the course they asked about. Then ask the questions that matter: which class, which exam, which board, how the student is doing now, what the family is worried about, when they want to decide. Offer one next step: a demo class, a counselling session or a scholarship test date. Then send the details on WhatsApp straight after the call.

Speak the family’s language. A Hindi or Hinglish call often goes better than an English script read aloud. Our free [Hindi and Hinglish telecalling scripts](https://www.brandbakery.tech/tools/telecalling-scripts) include a coaching admission script with the openings, questions and polite close.

## Keeping parents warm

Admission decisions take weeks. Plan the gaps:

- Day 0: details and fee structure on WhatsApp after the first call.
- Day 2: demo class invitation with a specific date.
- Day 7: something useful, like the test schedule or a study plan for the board exam month.
- Day 14: a check-in that asks one question: “Is there anything that would help you decide?”

Our [lead follow-up planner](https://www.brandbakery.tech/tools/follow-up-planner) writes these five messages for you, in English or Hinglish. Outside WhatsApp’s 24-hour window they need approved templates; keep reminders factual and free of offers so they qualify as utility messages.

## What not to do

- Don’t promise ranks, selections or guaranteed marks. The CCPA guidelines prohibit it, and parents increasingly know it.
- Don’t invent urgency. “Only 5 seats left” when it isn’t true is a misleading claim.
- Don’t call students under 18 directly when the parent made the enquiry.
- Don’t keep calling after a clear no. Mark it and stop.

## Where an AI employee helps

The hardest part of the season is the volume at odd hours: 9 pm form fills, Sunday enquiries, the 200th follow-up message of the day. An [AI sales employee](https://www.brandbakery.tech/ai-employees/sales-executive) can call every new enquiry within a minute in Hindi or English, ask your qualifying questions, book demo classes into your calendar, send the fee structure and follow up on schedule, then hand interested parents to your counsellors with notes. It sticks to approved answers, so it never promises a rank.

Start with the [lead leak audit](https://www.brandbakery.tech/tools/lead-leak-audit). If the score says your evening and weekend enquiries are leaking, [ask for a callback](https://www.brandbakery.tech/contact) and we’ll show you how the admission calls would sound for your institute.
