If you have ever hired a telecaller, you know the job: call every new lead, pick up every incoming call, book the visit, follow up next week. An AI telecaller is software that does the same job on the phone, by voice, in the language your customer speaks.

That sounds like the robotic IVR you hang up on. It isn't. Here is what an AI telecaller actually is, what it does well, where it falls short, and how to try one without risking your leads.

## A plain definition

An **AI telecaller** is a voice agent that holds a normal phone conversation with your customers. It listens, understands what the caller wants, answers from information you have approved, and takes an action: books a slot, sends a WhatsApp message, logs the lead or passes the call to a person.

Three things make it different from an IVR:

- **No menus.** The caller speaks normally ("kal shaam ko site visit ho sakti hai?") and it replies normally.
- **It can call out.** It can ring a new lead within a minute of the form being filled, and follow up on day 2 and day 7.
- **It writes things down.** Every call is recorded, transcribed and summarised, so you see what was said.

## How it works, step by step

1. **A call starts.** Either a customer rings your number, or a new lead arrives from your website, Meta ads, IndiaMART or a portal and the AI calls them.
2. **Speech becomes text.** A speech recognition model turns the caller's words into text, including Hindi, English and the Hinglish most people actually speak.
3. **A language model decides what to say.** It reads your script, your price list, your timings and your rules, and works out the right reply or action.
4. **Text becomes speech.** A voice model speaks the reply, usually in under a second or two.
5. **Something happens.** A visit is booked in your calendar, a brochure goes out on WhatsApp, the lead is tagged hot or cold, or the call is transferred to your staff with notes.

Good setups also have **handover rules**: the topics the AI must never handle alone, such as discounts beyond a limit, complaints, refunds or medical advice.

## What it does well

- **Speed.** It calls every new lead within a minute, at 11 pm or on a Sunday. Our piece on [how fast to call back a new lead](https://www.brandbakery.tech/pulse/lead-response-time) explains why the first few minutes matter.
- **Coverage.** It answers when your team is busy, on leave or asleep, and it can take many calls at once.
- **Consistency.** It asks the same qualifying questions every time and never forgets the day-7 follow-up.
- **Records.** You get a transcript and a summary of every call, which most human teams never manage.

## What it can't do (and shouldn't try)

Be clear about the limits before you buy anything.

- **Judgement and relationships.** A good salesperson reads tone, builds trust over weeks and knows when to bend a rule. An AI should hand those conversations to a person.
- **Anything outside its material.** If you change a price and nobody updates the AI, it will confidently quote last month's price. Someone has to own the updates.
- **Unapproved promises.** It should never invent offers, delivery dates or outcomes. Set that rule in writing.
- **Heavy accents and noisy lines** still cause misunderstandings sometimes. Read the transcripts in the first weeks.

## Is it legal to use an AI telecaller in India?

Answering your own incoming calls and calling back people who enquired with you is ordinary business use. Outbound promotional calls are where the rules bite: TRAI's commercial communication rules require registered headers and number series, respect for the Do Not Disturb registry and consent, and in 2024 TRAI told telecom operators to cut off unregistered senders making promotional calls ([TRAI direction, 13 Aug 2024](https://www.trai.gov.in/sites/default/files/2024-08/Direction_13082024.pdf)). Our guide to [the 2026 calling rules](https://www.brandbakery.tech/pulse/trai-ai-call-rules-2026) covers the details. If you collect phone numbers on a form, the DPDP Rules also apply; see [what the DPDP Rules mean for your enquiry form](https://www.brandbakery.tech/pulse/dpdp-rules-website-enquiry-form).

## Two kinds of AI telecaller

**Self-serve software.** You get a voice bot and a dashboard, usually priced per minute, and you write the scripts, connect your lead sources and fix problems yourself. Cheap to start, but the setup is your job. Our guide to [what an AI phone agent really costs](https://www.brandbakery.tech/pulse/ai-voice-agent-cost-india) explains the per-minute maths.

**A managed AI employee.** Someone builds it around your business, connects your calendar, WhatsApp and lead sources, sets the handover rules and then monitors it every week. Our [AI Receptionist](https://www.brandbakery.tech/ai-employees/receptionist) is this kind, at ₹30,000 for setup and ₹10,000 a month with 1,000 minutes included, then ₹9 a minute. For outbound work, our [AI sales employee](https://www.brandbakery.tech/ai-employees/sales-executive) costs ₹50,000 for setup and ₹22,500 a month with 2,000 minutes included, then ₹8 a minute. No GST is charged.

## Should you replace your telecaller?

Usually not on day one. A Delhi NCR telecaller costs roughly ₹12,000 to ₹25,000 a month in salary, based on job listings we checked on 21 October 2026 ([WorkIndia](https://www.workindia.in/telecalling-jobs-in-alaknanda-delhi/)), before ESI, phone, incentives and turnover. The more useful question is which calls your team misses today: nights, Sundays, the tenth lead of a busy morning. Start the AI there, keep your people on the warm conversations, and compare after a month. Our [AI telecaller page](https://www.brandbakery.tech/ai-telecaller) sets the two side by side on cost, hours and what each does better.

Our [AI vs telecaller calculator](https://www.brandbakery.tech/tools/ai-vs-telecaller-calculator) puts your own salary, hours and lead numbers side by side. If the numbers make sense, [ask for a callback](https://www.brandbakery.tech/contact) and we'll walk you through a trial on your after-hours calls first.
