Act 01IndiaMART sellers
You sent the quote. Who calls the buyer back?
Many IndiaMART enquiries are lost after the quote, not before it. The buyer compares several quotations, has a question about quantity, delivery or GST, and nobody calls back. Follow up every quote on set days, answer the buyer's questions from your price list and pass negotiation to your sales head.
Where to look first
- The quote sent at 6 PM
- The question about quantity
- Delivery and GST
- The buyer who says "will confirm"
- The repeat buyer
Act 02The pattern
Where quotes go quiet
Your team works hard to send the quote. What happens in the next week decides whether it becomes an order.
The quote sent at 6 PM
The quotation goes out at the end of the day. The buyer opens it the next morning alongside four others, and nobody from your side is there to answer.
FixA call the next morning to check the quote arrived and answer the first questions.
The question about quantity
The buyer wants a lower minimum order, a different pack size or a sample first. The question sits in an email until it is too late.
FixMOQ, pack sizes and sample terms answered from your written rules, the rest passed to your sales head.
Delivery and GST
The buyer needs delivery to another state and a GST invoice in the company name. Small doubts like these stall orders for days.
FixDelivery city, timelines and GST details confirmed on the call and noted on the order.
The buyer who says "will confirm"
They mean it, then a cheaper quote arrives. Nobody calls on the day they said they would decide.
FixA call on the day the buyer named, and one more a few days later, then it stops.
The repeat buyer
A buyer who ordered three months ago is due to reorder. They search IndiaMART again instead of calling you.
FixA reorder check on WhatsApp for buyers who agreed to hear from you, at the interval you set.
Act 03Your numbers
What unfollowed quotes cost a month
Count last month's quotations, and how many got no call after they were sent.
Run your own numbers: Missed Enquiry Cost Calculator
An example
- Quotations sent a month
- 200
- Never followed up
- 120
- Followed-up quotes that become orders
- 1 in 6
- Your margin on an order
- ₹12,000
If those 120 quotes converted like the ones you did follow up, that is 20 more orders and about ₹2.4 lakh a month in margin.
These are example numbers, not figures from any seller. Your quotation register shows the first two.
Act 04Follow-up plan
A follow-up plan for every quotation
Write the plan once. Then every quote gets the same attention, whether your team is busy or not.
- The day after the quote: a call to check it arrived and answer questions
- Questions on MOQ, pack sizes, samples, delivery and GST answered from your written rules
- Any request for a lower price goes to your sales head with the buyer's notes
- A call on the day the buyer said they would decide, and one more a few days later
- Mark every lost quote with the reason, so you see whether price, delivery or speed is losing orders
- Reorder checks only for buyers who agreed to hear from you
The plan at a glance
Act 05Delhi NCR
In Delhi NCR, buyers know the markets
Buyers here can walk into a wholesale market tomorrow. Your follow-up competes with that option, not just with other sellers online.
- Buyers often compare your quote with Sadar Bazar, Chandni Chowk or Bhagirath Palace prices, so the caller should know your delivery and GST advantages
- Manufacturers in Okhla, Bawana, Narela, Kundli and the Noida sectors can offer a factory visit or pickup; say so if you allow it
- Inter-state delivery to Haryana and UP is routine here, so delivery time and e-way bill questions come up early
- Hindi is the default for most traders, with English for corporate buyers
Act 06Your options
Ways to follow up every quote
Most sellers already do the first one. The question is what happens on a busy week.
Act 07Questions
Asked often
Straight answers. If yours is not here, ask it on a call.
When should I follow up a quotation?
The next working day, to check it arrived and answer questions, then on the day the buyer said they would decide. Two or three calls over a week is enough for most quotes; after that, mark it lost with the reason.
Can it negotiate prices with buyers?
No. It answers from your price list and written rules, such as MOQ and standard discounts you approve. Any request beyond that goes to your sales head with the buyer's notes.
Does it work with IndiaMART leads and quotations?
It works from the enquiry and buy lead notifications IndiaMART already sends you, and from the quotation list your team keeps. We confirm each source on the call before anything is built.
Can it speak to buyers in Hindi and English?
Yes, and in other Indian languages. Many B2B buyers switch between Hindi and English on the same call, and it follows them.
What does an AI calling agent for IndiaMART sellers cost?
₹50,000 to set up, then ₹22,500 a month. If you only need incoming calls answered, the AI Receptionist is ₹10,000 a month after a ₹30,000 setup, with 1,000 minutes, then ₹9 a minute.
20 minutes
Every quote you send, followed up
Bring last month's quotation count and how many got a follow-up call. Abhishek maps the follow-up plan with you on a 20-minute call and quotes it in writing.
